Avoid the usual traps
Common apostille mistakes, and how we handle them
Apostille delays usually come from the wrong document or the wrong office. Here is how our process covers it.
Common mistake: Sending the document to the wrong issuing authority
With FormLLC: We confirm the route from the destination's instructions and the issuing office
Common mistake: Submitting a plain copy that does not qualify
With FormLLC: We prepare the certified record the apostille request needs
Common mistake: Assuming an apostille confirms what the document says
With FormLLC: We are clear that an apostille does not verify the document's content
Common mistake: Overlooking the recipient's recency or translation rules
With FormLLC: The recipient's document list, recency and translation instructions are reviewed first
Service scope
What does FormLLC coordinate for your apostille?
Get the right record, issuer and route before documents are sent.
Confirm the destination country, the recipient’s written document list, each document type and its issuer. Check whether an apostille applies or authentication and consular legalization are needed.
Order the certified copy or certificate of good standing the request depends on, or confirm the notarization a privately signed document needs first.
Coordinate the request with the correct authority, generally the issuing state for state records and the U.S. Department of State for federal documents, after you approve scope and charges.
Arrange the agreed shipping, keep tracking details and a scan of the completed document, and note any translation or consular step the recipient still requires.

Important limits
What causes common apostille delays?
The issuer, document format and destination rules all have to line up.
State-issued records are generally apostilled by the issuing state; federal documents go to the U.S. Department of State. Sending a document to the wrong office causes delay.
An ordinary scan or photocopy is often not acceptable. The authority may require a certified copy or a properly notarized document first.
It authenticates the origin of a public document, such as the signature, capacity and seal, not the accuracy of what it says. The recipient still decides acceptance, translation and document age.
Questions answered
Apostille services FAQs
Answers about apostilles, authentication, issuers, copies, translation, timing and costs.
What is an apostille for business documents?
An apostille is a certificate issued by a competent authority so a public document can be recognized in another country that is party to the Hague Apostille Convention. Certified articles of organization and certificates of good standing are common business examples.
Do I need an apostille or an authentication certificate?
It depends on the destination. U.S. government guidance says Hague Convention countries use an apostille, while other countries require an authentication certificate and may require further steps by their embassy or consulate.
Who issues the apostille for my LLC documents?
Records issued by a U.S. state, such as articles of organization or a status certificate, are generally apostilled by that state’s Secretary of State or designated office. Federal documents are handled by the U.S. Department of State.
Can I apostille a scanned copy or printout?
Usually not as it is. Many authorities require a certified copy from the issuing office, or a correctly notarized document, before attaching an apostille. Confirm the format with the authority and the recipient.
Which business documents can FormLLC help apostille?
Commonly requested records include certified articles of organization or incorporation, certificates of good standing and amendments, plus notarized resolutions or powers of attorney. Eligibility is confirmed for each document before ordering.
Is translation included?
Only when your written order includes it. Some recipients require a certified translation of the document and the apostille; share their language and certification instructions so the work can be scoped.
How long does an apostille take?
Timing depends on the issuing office, any certified records needed first, the authority’s current processing and shipping. FormLLC confirms the route and steps but does not promise an agency processing date.
How much do apostille services cost?
